    This policy explains what personal information we collect, why we collect it, what we do with it, and what rights you have. It applies to our website at bourneskiphire.biz/bshrecycling.co.uk, our online booking system, and to information we collect over the phone, by email, in person at our sites, and through our vehicles.

     

    2. The information we collect

    2.1 Information you give us

    When you request a quote, book a skip or waste collection, register an account, sign up to our emails, enter a competition or contact us, we may collect:

    • Name
    • Business name and job title (where applicable)
    • Email address
    • Telephone number
    • Delivery, collection and billing addresses
    • Details of the waste or service you require
    • Access, parking or permit details relating to your site
    • Payment card details (processed by our payment provider — see section 5)
    • Any other information you choose to give us in messages, calls or forms

    2.2 Information we collect automatically

    • Website usage data: IP address, browser type and version, device type, operating system, pages viewed, time on site, referring website. Collected via cookies and similar technologies — see section 9.
    • Call records: we may record or monitor telephone calls for training, quality and dispute-resolution purposes. Where we do, you will be told at the start of the call.

    2.3 CCTV and vehicle systems

    • Site CCTV: our sites are monitored by CCTV for the prevention and detection of crime, for health and safety, and to meet our obligations as a permitted waste facility. Signage is displayed at all monitored locations.
    • Vehicle cameras: our vehicles are fitted with forward- and rear-facing cameras which record footage while the vehicle is in use, for driver safety, insurance and incident investigation purposes.
    • Vehicle tracking: our vehicles carry telematics systems recording location, route and driving data, used for scheduling, customer service and fleet management.

    2.4 Waste documentation

    As a licensed waste carrier and operator we are legally required to record details of the waste we handle. Waste transfer notes and hazardous waste consignment notes contain the name and address of the waste producer, which may be personal information where you are an individual or a sole trader.

    2.5 Recruitment

    If you apply for a job with us we collect the information in your application, CV and covering letter, references, and any information gathered during interview. Where a role requires it we may also carry out right-to-work checks and driving licence checks.

    2.6 Information from other sources

    We may receive your information from third parties including credit reference agencies (for commercial accounts), our online booking and payment providers, comparison or lead generation sites, and publicly available sources such as Companies House.

     

    3. Why we use your information, and our lawful basis

    Under UK data protection law we must have a “lawful basis” for using your personal information. The table below explains what we use your information for and which basis applies.

    4. Marketing

    We will only send you marketing emails or text messages as an individual where you have told us we can, or where you are an existing customer, we are marketing similar services, and we gave you a clear opportunity to opt out when we took your details.

    You can opt out at any time by clicking “unsubscribe” in any marketing email, replying STOP to any text message, or contacting us using the details in section 1. Opting out of marketing will not stop us sending you service messages about a booking you have made.

    We may also market to business contacts by email, post or telephone. If you do not want to hear from us, tell us and we will stop.

    We do not sell, rent or trade your personal information to third parties for their own marketing.

     

    5. Who we share your information with

    We do not sell your personal information. We share it only where necessary, with:

    • Our staff and drivers, so they can deliver the service you have booked
    • Subcontracted hauliers and waste facilities, where we use them to fulfil your booking or process your waste
    • Our IT, website, booking system, email and CRM providers, who host and support the systems we use
    • Payment processors, who handle card payments. We do not store your full card details on our systems.
    • Our accountants, auditors, insurers, brokers and legal advisers
    • Credit reference and debt recovery agencies, in connection with commercial accounts and unpaid invoices
    • Regulators and public bodies, including the Environment Agency, HMRC, local authorities, the Health and Safety Executive and the police, where we are legally required to do so or where it is necessary to investigate an incident or crime
    • A buyer or successor, if we sell or restructure all or part of our business

    Our suppliers act on our instructions under written contracts requiring them to keep your information secure and to use it only for the purposes we specify.

     

    6. Where your information is held

    We aim to store and process your personal information within the UK and the European Economic Area (EEA).

    Some of our suppliers — for example email, cloud storage or analytics providers — may store or access data outside the UK. Where that happens, we make sure an appropriate safeguard recognised under UK data protection law is in place, such as UK adequacy regulations, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses. You can ask us for details of the safeguards we use.

     

    7. How long we keep your information

    We keep personal information only for as long as we need it. In general:

    Where we no longer need your information we will securely delete or anonymise it.

     

    8. Your rights

    Under UK data protection law you have the right to:

    • Be informed about how we use your personal information — this policy sets that out
    • Access a copy of the personal information we hold about you
    • Rectification — have inaccurate information corrected or incomplete information completed
    • Erasure — ask us to delete your information, in certain circumstances
    • Restrict processing — ask us to pause our use of your information, in certain circumstances
    • Data portability — receive certain information in a machine-readable format, or have it transferred to another organisation
    • Object to processing based on our legitimate interests, and to object at any time to direct marketing
    • Withdraw consent at any time, where we rely on your consent. This does not affect anything we did before you withdrew it.
    • Not be subject to automated decision-making that produces legal or similarly significant effects. We do not make decisions about you by automated means alone.

    These rights are not absolute and some only apply in particular circumstances. For example, we may not be able to delete information we are legally required to keep, such as waste transfer records.

    To exercise any of these rights, contact us using the details in section 1. We will respond within one month. We may ask you for proof of identity first. There is normally no charge.

    We take appropriate technical and organisational measures to protect your personal information, including access controls, encryption of our website and booking system, secure hosting, restricted access to CCTV footage, and staff training. Unfortunately no transmission of data over the internet can be guaranteed as completely secure. Where we are required to do so, we will report a personal data breach to the ICO and, where the risk to you is high, to you directly.

     

    11. Children

    Our services are not directed at children and we do not knowingly collect personal information from anyone under 18. Where we run competitions on social media, entrants must be aged 18 or over unless the competition terms say otherwise.

     

    12. Links to other websites

    Our website may contain links to other sites. This policy does not apply to those sites and we are not responsible for their privacy practices. Please read their own privacy policies.

     

    13. Changes to this policy

    We may update this policy from time to time. The date at the top shows when it was last changed. Where the changes are significant, we will tell you directly. Please check back periodically.
